Purchasing Coordinator (On-Site – Richmond, VA)

When purchasing runs well, product arrives on time, orders ship, and customers stay happy.
Your job is to keep product flowing into the business—accurately, on time, and without delays.
What You Own
You own purchasing execution and order flow decisions:
  • Purchase orders go out correctly and on time
  • Vendors confirm, ship, and follow through
  • Orders are tracked from placement to delivery
  • Sales orders are routed correctly
  • Issues are identified early and resolved quickly
  • Teams know what’s coming in and when
You are the person others rely on to keep things from getting stuck.
What You’ll Do
  • Create and send purchase orders
  • Track orders and follow up with vendors
  • Confirm ship dates and push for updates when needed
  • Decide how to route incoming sales order balancing timing, availability, and customer impact
  • Resolve delays, shortages, and pricing discrepancies
  • Match invoices to POs and correct issues
  • Communicate timing clearly to internal teams
This role focuses on execution and follow-through. Planning, forecasting, and supplier strategy are handled elsewhere, so you can stay focused on keeping day-to-day operations running smoothly.
Decision Making
You are trusted to keep work moving without waiting.
Examples of decisions you’ll make:
  • Adjusting PO details (quantities, pricing corrections) when issues arise
  • Choosing when to follow up vs escalate with vendors
  • Routing sales orders based on availability, timing, and guidelines
  • Resolving small invoice discrepancies to keep payments moving
  • Communicating updated ship dates based on vendor input
  • Prioritizing which issues need immediate attention
You escalate when:
  • The cost impact is meaningful
  • A vendor is consistently missing expectations
  • Information is missing and cannot be resolved
